Information About a Parent or Guardian

A volunteer under 18 must have a parent or guardian consent, and we record that person's name, their relationship to the volunteer, their telephone number and their email address. We keep it so that we can reach them about their child's volunteering, including in an emergency, and so that they can withdraw their consent. We do not use it for anything else and we do not share it. A guardian may ask us what we hold about them, ask us to correct it, or withdraw consent — which stops their child's volunteering — by contacting us at the address below. We keep the record after the volunteer turns 18, because it is a record of what was agreed at the time rather than a permission that is still in force.

Health Information for Volunteers

Volunteers are asked to tell us about allergies, medical conditions, medications and activity restrictions when they sign up. You must answer, but "None" is an answer. We use it only to assign tasks safely and to act in a medical emergency. It is visible only to the staff and coordinators who manage volunteers, it is never shown on any public page, and we do not share it. You may ask us what we hold, correct it, or ask us to delete it — deleting it may mean we can no longer assign you to some activities. We keep it for as long as you are an active volunteer, and remove it on request once you are not.

Photographs and Recordings

When you sign up to volunteer you choose one of three options: we may photograph and record you and use the material in our communications; group images only; or not at all. Your choice does not affect whether you can volunteer. You can change it for future uses at any time by contacting us, though we cannot recall printed material or remove things already published. We will not sell your image to unrelated third parties for commercial advertising.

We collect information you provide directly — such as your name, email, and details submitted through event registration, donation, or contact forms — and basic technical data needed to operate the site.

How We Use Your Information

We use your information to process registrations and donations, send receipts and acknowledgments, respond to inquiries, and communicate about OCCCS programs. We do not sell your personal information.

Data Sharing & Disclosure

We share information only with service providers who help us operate (for example, email and payment tools), or when required by law. These providers are bound to protect your information.

Data Security

We take reasonable measures to protect your information. No method of transmission or storage is completely secure, but we work to safeguard the data you entrust to us.
